In another review, I wrote about how to setup your own blog in one shot. It’s also a comprehensive and step-by-step tutorial with pictorial representation. It guides you step-by-step to set up your professional blog within few minutes using one of Pagematic’s unique web hosting package.

Now, let’s focus on today’s topic. Today’s topic is setting up automated email marketing system for your blog using one of Pagematic’s web hosting packages. This is another comprehensive tutorial and the last in this series.

Setting up Automated Email Marketing System in Your Blog using Pagematic

The whole process of setting up email marketing system is slightly lengthy. It would be better and easier to understand the whole process for you if I split it into certain number of modules.

To understand the whole process better, I divided this process into 4 short modules.

Here are those 4 modules:

  • Setup Your Pro Autoresponders
  • Setup Your Newsletter Subscription Form
  • Setup Automated Follow Up Messages
  • Configure Subscribers’ Signup Confirmation

Let’s start with the first module.

Module 1: Setup Your Pro AutoResponders

This module consists of 6 small steps (from Step 1 to Step 6) and each step consists of one or two simple tasks (In few cases it is more than two). So, let’s start with first step.

Step 1: Click the Link Provided to You for Setting Up Your Pro Autoresponders.

Task 1: Select any hosting package provided by Pagematic and Register your website there if you didn’t register yet. (Without registration, no steps actually work. So, do it now!).

After registration, when your website is ready to start, you will receive complete information of your web hosting setup. In that information, you will be given a specific link to create and administer all of your pro autoresponders. These pro autoresponders are the functional units of your email marketing system.

Task 2: Click that link or copy and paste that link on your browser’s address bar.

Task 3: Login into your Pro Autoresponder’s main page. This login information is also provided to you by Pagematic.

Step 2: Add Your Autoresponders.

After login, you are at the main page, which looks like Fig 1 above.

The horizontal menu bar is the main menu. With the help of this menu, you can create, setup, and administer all of your pro autoresponders.

Task 1: Click on Autoresponder on the horizontal main menu bar. You will get a drop down list from which select Add Autoresponder.

Step 3: Enter Your Pro Autoresponder Details.

In this page (see Fig. 2 above) you will need to fill up three important fields.

First one is for your autoreponder name. It is a unique name of your autoresponder. For example, here I gave a name npminfo to my autoresponder.

The second field is the name of the sender of this autoresponder. It can be your name or your blog name or your newsletter name. In my case I used my name Debabrata Dhar in this field. When people get mail from my autoresponder npminfo, they identify Debabrata Dhar as the sender.

The last field is kept for a valid and existing email address, which is used for the fields From and Reply To on all of the outgoing emails from your autoresponder. You can create your website based email id or email address such as info@yourwebsite.com or support@yourwebsite.com etc. using your website’s control panel. For that, you need to go to your Cpanel and find out the section called Mail and in that section you need to click on Email Accounts tab and create as many email accounts, as you want. (You can take a glance of the control panel or Cpanel in Fig. 1 of my previous tutorial where I explained how to setup your blog using Pagematic).

Here, in my case, I filled up this field with one of my website based email address support@netprofitmagic.com. It means that all of my outgoing emails from my autoresponder npminfo actually will go out from support@netprofitmagic.com and people can reply to it.

Task1: So, Enter proper values in these three fields.

Task 2: Click the button Setup Now to setup your autoresponder.

After filling up the form, you will get this page (showed in Fig. 3).

Here in this page, it is told that your autoresponder is set up. You are instructed to confirm the email address that you provided in the previous page. In this page you need nothing to do.

Step 4: Confirm Your Email Address that You already entered in Autoresponder’s Details.

Task 1: Check your valid email that you registered at the time of setting up of your pro autoresponder in the previous step (i.e. Fig. 2 in Step 3). The above image (Fig. 4) shows the mail that you will receive after Step 3.

In this email, you will be given a link that you need to click to validate and confirm your email address and activate your newly created pro autoresponder (see Fig. 4 above).

With this validation, you will confirm that your subscribers will get emails from your autoresponder and in the From and Reply to fields of the autoresponder, this validated email id will be shown as if your newsletter or email messages will be going out from this email id not from autoresponder.

Task 2: So, click the link that is provided in your email.

Step 5: Log into Your Newly Created Autoresponder Account.

After confirming your email address, you will be at a page like Fig. 5.

In this page, you will be ensured that your email address is confirmed.

You just need to log in again to further set up your newly created pro autoresponder.

Task 1: Click the link Log Into as shown in Fig. 5.

Step 6: Select Your Newly Created Autoresponder after Your Successful Login.

After login is successful, you will be at a page shown in Fig. 6 above. Here you will find a list of autoresponders that you already created. As you have created only one autoresponder so far, you will find one entry in this list just like mine. This is the pro autoresponder you have created in this module.

Task1: Click on the autoresponder name to select it.

After selecting the newly created pro autoresponder, you can add and schedule a number of messages for following up your subscribers. Later on in Module 3, you will learn how to add messages to this pro autoresponder and schedule them.

It is the end of Module 1. In this module, you have learned how to setup of your first pro autoresponder.

I hope the first module and the steps within don’t put you in any technical complicacy. You need to repeat the same steps provided in Module 1 if you want more pro autoresponders to work for you.

Now, become ready for the second module.

Module 2: Setup Your Newsletter Subscription Form

In this second module, you will learn how to setup your newsletter subscription form or signup form that you can embed or use anywhere in the web such as at the sidebar of your blog or at the end of each blog post or in your squeeze pages or landing pages or popup pages or in your facebook page. This form will provide your people the opportunity to subscribe to your newsletter and you to accept new subscribers to your newsletter and make a big list of subscribers.

The second module consists of 4 small steps (from Step 7 to Step 10). Let’s start with 2nd module from Step 7.

Step 7: Create Your Newsletter Subscription Form.

You will start it from pro autoresponder’s main page. Here in this page (Fig. 7), you are going to create your subscription form or signup form.

Task 1: Click the tab Form Code on the horizontal main menu bar.

Step 8: Select the Style of Your Subscription Form

Here in this page (Fig. 8) you can select the style of subscription form that you wish to use on your blog or website. It can be short or a long form. In my case, I have selected a short form where people need to enter First Name and E-Mail Address to subscribe to my newsletter.

Task 1: Select any radio button whether it is General small form code or General large form code.

Task 2: Finally click on the button Continue.

Step 9: Select More Fields for Your Subscription Form or Continue with the previous setting.

Here on this page (Fig. 9) you will have one more opportunity to customize your newsletter subscription form by incorporating more fields into it. For example, I have selected another field called Last Name by clicking the checkbox at the left of it.

Task 1: Select one or more fields by clicking the check box at the left of each field if you require, otherwise you can leave it.

Task 2: Click the button Continue.

Step 10: Copy Auto Generated Form Code for Your Subscription Form and Paste It where it is required.

On this page (Fig.10) you will get automatically generated html code for your subscription form that you need to embed or use on your blog or website.

Task 1. Right click on the html code to select all and copy this code by selecting Copy from the drop down list.

Task 2: Paste this code in an html editor like Microsoft FrontPage or normal Notepad. Save it as an html file.

Note: this is optional.

You can give a name to your form. You can change the look and feel of the form such as background colour or you can add image. You can make all fields required so that people are bound to enter all values i.e. First name, Last name and Email address to subscribe your newsletter. To do this, you need to edit the hidden field required values and enter the field names separated by a comma. The changed code will look like this:

But you are not allowed to edit the variable names or add any new variables.

When you see this html file in any web browser such as Internet Explorer or Mozilla Firefox or any other web browser, your subscription form will look like Fig. 11.

When you embed this form code on your website or blog, people can subscribe to your newsletter in two different ways – either in the form of email message or in the form of RSS feed. They just need to enter their First Name, Last Name and Email Address and select a mode of subscription i.e. either E-mail or RSS Feed and click the button Subscribe. That’s it.

This is the end of second module. Setting up of your newsletter subscription form has been completed.

I hope the second module was not at all complicated. Let’s be ready for the 3rd module.

Module 3: Setup Automated Follow Up Messages

In this third module, you will learn how to setup your newsletter’s follow up messages and schedule them according to your requirement.

This third module consists of 5 small steps (from Step 11 to Step 15). Let’s start with the third module from Step 11.

Step 11: Add Your Pro Autoresponder’s First Message.

This is the main page (shown in Fig. 12) where you are already in. The messages that you will add here will actually be added to your first pro autoresponder that you just have created or learned to create in the Module 1 of this tutorial.

Task 1: Click on Messages on the horizontal main menu bar. You will get a drop down list from which select View/Edit/Add Messages.

Step 12: Setup Your First Message.

This page is called Message Manager (Fig. 13). Here on this page, you are allowed to create maximum of 100 messages and schedule them according to your requirement. This is huge. When people successfully subscribe to your newsletter, they will receive all of these messages one by one according to your schedule.

It is also shown that you currently have 0 messages. It is because of the fact that you didn’t create any message so far. So, create your first message. You can create your message in text version or in the form of html page. In the second case you will need to create that message in html format.

Task 1: So, you need to click any one of the two links – Click the link for plain text message or the link for HTML message. I clicked the link Setup New Plain Text Message.

Step 13: Save Your First Message.

Now you are at the page shown in Fig. 14.

On this page you can see that you are here to edit (actually add) your first message. Also note that you can use personalized tags to address your subscribers as well as yourself.

In the second highlighted zone you will find a message, which says, "Click Here to get a list of the personalized tags…” If you click the link, you will get a list of personalized tags, which is shown below in Fig. 15.

You can use these personalized tags in your message’s Subject Line as well as in your Message Body. Believe me … it helps you a lot. For example, if you want to refer all of your subscribers to address them by their first name, you simply use a personalized tag [FIRSTNAME] to address them just like “Hi [FIRSTNAME]” or if you want to finish your message by your full name you can use another personalized tag called [MYFULLNAME] like “Yours [MYFULLNAME]“. When your subscribers get your message, each of them will find his or her actual first name instead of first tag and your actual full name instead of second tag respectively.

You will get all available personalized tags here in the page shown below in Fig. 15.

Another important thing needs to be noted is …Message Delay (found in third highlighted zone) on the page (Fig. 14). Here the default value is Sent Immediately. Keep this value as it is because this is your first message and it should go out to a person immediately after his or her successful signup. From the second message onwards, you can set this message delay value by the number of days you actually want to delay or schedule it. If you want your second message should go out after two days of the first message, you should set the value 2 for that. In the same way, you can set this message delay value as your wish for all other messages that you add here. Remember that you have the opportunity to schedule 100 messages in advance in the same way. These hundred of messages will go out one by one according to the value that you put in the field Message Delay or you can say it according to your schedule automatically to your subscribers without touching a key from your part. So, do you think … it’s amazing?

Task 1: Keep the default value of the field Message Delay (Days Sent From Last Message) as it is for your first message. Its default value is Sent Immediately.

Task 2: Fill up the Subject Line with proper subject of your first message.

Task 3: Fill up the text box Message Body for Plain Text with your message in text format just like shown in the Fig. 14. (Here I kept the other box meant for HTML blank because I already decided my messages would be in text format. If you want, you write your message in html editor and paste your html message here in this box.)

Task 4: Click the button Save Message to save your first message.

Step 14: Return to Message Manager

After saving you first message at the page (Fig. 14) you will be at this page (Fig. 16).

Task 1: Here your task is to click the link Return to Message Manager to return to your message manager page.

Step 15: Setup Your Second Follow up Message

So, you are back again to your message manager page (Fig. 17). Now, you can see that you currently have one message already setup in your autoresponder. Now, You are going to create your second follow up message and later on more messages and schedule them according to your wish. So, create your second message.

Task 1: Click the link Setup New Plain Text Message to create another message for your autoresponder.

After clicking this link you will go back to the page (shown in Fig. 14) again where you already created your first message by providing proper inputs to the subject line, message delay and message body and ultimately saving the message. You will need to repeat the same tasks again and again for all of the messages that you want to create and schedule them according to your plan. Though, there is scope of creating 100 messages at a time, you need not to do all at once. You can create and schedule ten messages first, let them work automatically. Take some time, come out with new fresh ideas and create another ten messages. That’s it.

Any time you can add, edit, delete or reschedule any message or all messages. So, it’s not a one-day work. According to the situation you need to make changes.

I think you appreciate that.

So, you are at the end of third module where you have created your pro autoresponder messages and scheduled them according to your wish.

Now you have only one module to go.

Module 4: Configure the Subscribers’ Signup Confirmation

In this fourth or last module, you will learn how to setup subscriber’s confirmation, signup confirmation and how to start the automated follow up of your newsletter to your subscribers.

This module consists of 6 small steps (from Step 16 to Step 21).

Before starting any step in this module, let us understand why subscriber’s confirmation is required?

When a person subscribes to your newsletter, your email marketing system is supposed to send him or her your prewritten and prescheduled autoresponder’s messages automatically and directly to his or her inbox.

But, before sending your newsletter, you will need to confirm it from that person, who subscribes to your newsletter. Otherwise, it will be considered as spam. A spam is nothing but a message sent to a person without taking his or her permission.

So, when a person subscribes to your newsletter on your blog or website or anywhere, you need to provide him or her two things – the first thing is a confirmation page and the second thing is a confirmation email message.

Confirmation page is a simple web page that pops up in the subscriber’s browser immediately after the successful signup is over. This confirmation page should contain a clear instruction to your subscriber to check his or her email that is sent to the subscriber just after signup.

On the other hand, confirmation email message is a simple email message in text format that is sent directly to the subscriber’s mail inbox. In this email message, there happens to be two parts. First part is your clear instruction to your new subscribers to click a link provided at the bottom the message to confirm his or her subscription and the second part is an automatically generated link at the bottom of the message.

Step 16: Configure Your Confirmation Email Message for Your Autoresponder to Start Working.

Here, on this page (see Fig. 18 above), we are going to setup the second thing first i.e. the confirmation email message.

On this page, you need to use the same horizontal main menu bar but different menu.

Task 1: Click on Configuration on the menu bar. You will get a drop down list, from which select Confirmation E-mail Message.

Step 17: Add Your Confirmation Message.

On this page (Fig. 19), you can see a highlighted sentence, where it is clearly mentioned, "Your Accounts requires subscribers to confirm. (Y=Yes N=No): Y If N above you do not set this up". Here you can see that your account requires confirmation =Y. So, you need to setup a confirmation message.

Task 1: Fill the text box Confirmation E-Mail (text only) with appropriate confirmation message.

At the end of this Confirmation Email, Pagematic will provide an automatically generated confirmation link. You don’t need to do anything for that. You just need to mention it in your message that a link has been provided at the bottom of the email message. To confirm the subscription, the person (subscriber) should click the link.

Task 2: Click the button Setup Now.

Step 18: Configure Your Confirmation Redirect Page that will pop up just after Signup.

You already added your Confirmation email in the previous step (Step 17).

Now, you need to let your subscriber know about this Confirmation email. Now the question is – how can you do it?

You can let your subscriber know about this confirmation email by redirecting him or her to a confirmation page, which is a simple web page predefined and prewritten and pops up just after newsletter signup is over by a person. This page lets the new subscriber know about the Confirmation Email. This redirection is done in this step shown in Fig. 20.

Task 1: Click on Configuration on the horizontal menu bar. You will get a drop down list, from which select Confirmation Required Redirect.

Step 19: Add Confirmation Required Redirect URL.

On this page (Fig. 21), you need to put the full URL or link of your prewritten confirmation page.You must upload this confirmation page to your website prior to this task and use it’s URL or link address here.

For example, I have created a simple confirmation page confirm.html (see Fig. 22) and uploaded that page on my website’s public_html folder using an ftp (file transfer protocol) program. So, the full URL or link of that page becomes http://www.netprofitmagic.com/confirm.html.

You need to create the same type of web page and upload it to your website. Just like mine (see Fig. 22), let’s name your webpage confirm.html (you may give a different name) and upload it to your website’s public_html folder. So, the full URL or the link of your web page will be http://www.yourwebsite.com/confirm.html. You can upload it in different folder too. In that case, the link address will be different.

Task 1: Put the full URL of your confirmation page in the field Confirmation Required Redirect URL (must be a full http://www link)

Task 2: Click the button Setup Now.

Fig. 22 is a sample confirmation page created using simple html. You can take the idea from it and create your own confirmation page and save it. Upload it to your website.

When a person subscribes to your newsletter, this page confirm.html will automatically pop up on his or her web browser to let him or her know that a confirmation email has been sent to the person. He or she has to click the link at the bottom of the email (that you already configured and added in the steps 16 & 17) to confirm the subscription.

Step 20: Configure Your Signup Success Redirect Page.

Using Sign-up Success Redirect, you actually setup a predefined and prewritten web page, which will pop up just after your subscriber clicks the link provided at the bottom your confirmation email message that you already set up in the previous steps. This page will let your subscriber know that he or she has been confirmed to receive your newsletter.

Task 1: Click on Configuration on the horizontal menu bar. You will get a drop down list, from which select Sign-up Success Redirect. See this task is done and shown in Fig. 23.

Step 21: Add Signup Success Redirect URL.

You are now on a page like Fig. 24. Here you need to put full URL or link of your prewritten web page.

In this prewritten web page, you simply put the information to your subscriber that his or her subscription has been confirmed or simply write a welcome message to your subscriber. You also mention that he or she must check his or her mail to accept your first newsletter that you already added to your pro autoresponder. This is actually the first message that you setup in your pro autoresponder.

You must host this prewritten web page on your website once and use it’s URL or link address here.

For example, I have created a simple web page signupconfirmed.html (see Fig. 25) and uploaded that page on my website’s public_html folder using the same ftp (file transfer protocol) program. So, the full URL or link of that page becomes http://www.netprofitmagic.com/signupconfirmed.html.

You also need to create the same type of web page and upload it to your website. Just like mine (See the sample page shown in Fig. 25), let’s name your webpage signupconfirmed.html (or a different name) and upload it to your website’s public_html folder. So, the full URL or the link of your web page will be http://www.yourwebsite.com/signupconfirmed.html. You can upload this page in a different folder of your website. In that case the URL or link will be different.

Task 1: Put the full URL of your Signup Confirmation page in the field Redirect URL (must be a full http://www link).

Task 2: Click the button Setup Now.

Fig. 25 is a sample signup confirmed page created using simple html. You can take the idea from it and create your own signup confirmation page and save it. Upload it on your website in a folder.

That’s it. This is the end of Module 4.
